Italian Customer Portals: Your Beautiful PDF May Be Unreadable

The portal passes its checks, then exports a report with no meaningful reading order. Document generation belongs inside the product's quality standard.

An Italian equipment supplier commissions a customer portal with clear navigation, keyboard access and well-structured service records. A customer downloads a maintenance report. On screen it looks polished: two columns, a summary chart and a branded footer. With assistive technology, the same report jumps between unrelated paragraphs, announces repeated decorative elements and loses the relationship between a table's values and headings.

Document generation is part of the customer journey, so its output needs the same deliberate quality work as the portal itself. For Italian businesses automating reports, statements or service documents, accessibility should be designed into templates, data structures and acceptance checks before thousands of files are produced from a flawed pattern.

A visual document and a structured document are different deliverables

A PDF can position text beautifully without representing how that text should be read. Headings, paragraphs, lists and tables need meaningful structure. The order in which a generator draws elements is not always the order in which a person should encounter them.

W3C's PDF reading-order technique explains the importance of correct reading and tab order and gives ways to check it. The practical implication for a portal project is straightforward: a screenshot cannot prove that a document is usable. Acceptance needs to inspect both the visible page and the structure exposed to assistive technology.

Start with the intended reading sequence in plain language. A service report might introduce the equipment, state the result, explain required actions and then provide detailed measurements. Design the layout around that sequence. Decorative styling should support the information rather than forcing the reader to reconstruct its meaning.

Choose the generation approach by its output capabilities

Teams often select a PDF library because it makes an existing HTML page easy to print. That can be convenient, but the decisive question is whether the generated file preserves the required semantics across the actual templates you will use. Verify that with a sample containing the difficult elements, not just a title and paragraph.

PDFKit's accessibility documentation describes marked content and logical structure, including the handling of artifacts. These capabilities illustrate the level of control a generator may expose. Selecting a library with such features does not automatically produce an accessible document: developers still need to use them correctly and inspect the result.

Ask a prospective supplier to generate a representative report before agreeing the wider implementation. Include a multi-page table, a long customer name, missing optional data, an informative image and a link. The proof should use the same rendering path intended for production. A separately hand-repaired sample does not validate the automated process.

Fix the data contract before fixing every template

A report generator cannot invent reliable structure when its input is one large formatted text blob. Give sections explicit types. Represent a heading as a heading, a table as rows with identified columns, and a figure as an image with a meaningful description supplied by the content owner.

Handle alternative text according to the image's purpose. A purely decorative brand shape should not interrupt reading. A photograph showing a defect may need a concise description of the relevant finding. A chart may require an accompanying explanation or data table that communicates the result rather than merely naming its colours.

Language and metadata deserve the same discipline. If a portal generates Italian and English versions, the document should identify its language correctly and use appropriate titles. Avoid placing sensitive customer information into metadata or filenames simply because the fields are available. Decide what belongs there as part of the document specification.

Tables and page breaks expose weak implementations

Service reports often contain measurements, dates and reference values. A reader needs to know which heading applies to each value after a table continues onto another page. Visually repeating a header is helpful, but it does not by itself establish the semantic association.

Build fixtures that stress these relationships: empty tables, one row, many pages, long descriptions and values with units. Include mixed-language content and unusual characters used in real customer names. Check that text remains selectable and searchable rather than being flattened into a page image.

Repeated headers, footers and page numbers need appropriate treatment so they do not overwhelm the main reading sequence. Links should have understandable text and a sensible navigation order. If the document contains interactive form fields, include their labels and keyboard behaviour in scope; they are a separate interaction surface, not a decorative extension of the PDF.

Use automated checks and actual reading tasks

Automated inspection can find structural omissions and regressions. It cannot establish whether a description explains the chart or whether a complex report makes sense to a person. Combine machine checks with manual reading-order inspection and assistive-technology tasks on representative documents.

Define tasks that reflect why the customer downloaded the file: identify the equipment, find the next required action, locate the relevant measurement and follow the support link. Record the document version and tools used during testing. Any statement about conformance should be tied to the agreed standard and completed evaluation, not inferred from one library setting.

Keep a versioned set of sample documents in the delivery process. When a template, font or generator changes, regenerate those fixtures and inspect the important properties. Include at least one deliberately difficult document. Testing only the shortest report leaves the most expensive production failures undiscovered.

Commission one complete document journey

Begin with a report that customers frequently download and act on. Scope the source-data mapping, template design, generation service, access controls and quality evidence together. The same project should address whether a customer can download another customer's report by changing a URL and how long generated files remain available.

Offer a structured HTML view where it supports the customer's task, while making the promised downloadable document usable in its own right. A second format can broaden access; it should not become an excuse to ignore the format included in the service agreement.

Our guides to accessible software procurement and Italian manufacturing integration pilots provide related buying considerations. A document pipeline is worth treating as a maintained product capability.

TuniCyberLabs builds customer portals and reporting software. Share an anonymised report and the task customers need to complete with it. We can scope a representative generation and testing pilot before a wider rollout.

Frequently Asked Questions

Does an accessible web portal automatically generate accessible PDFs?

+

No. The document generation path must preserve meaningful structure, reading order, labels and other required properties. Test the actual generated files rather than relying on the portal's appearance or accessibility checks.

What should a PDF generation proof of concept contain?

+

Use a representative document with long text, a multi-page table, images, links and optional data. Generate it through the intended production path and inspect both its visual output and logical structure.

Can automated PDF checks replace manual accessibility testing?

+

Automated checks help detect structural problems and regressions, but cannot establish whether information is understandable. Add reading-order inspection and realistic tasks using assistive technology on representative documents.
